What does a company retreat planner handle?pes of events do you specialize in?

Pretty much everything. For the Kona retreat, our team sourced the venue, negotiated the contracts, built the food and beverage plan, coordinated audiovisual, lined up vendors, and managed on-site to keep the event running smoothly. You’ll have confidence showing up that you can arrive and be the face of your event. We handle the hundred small decisions happening behind the scenes with your approval along the way.

How far ahead should we start planning a company retreat?

Really depends on the size of your program and the destination. For a location like Kona, it should be 1-2 years in advance depending on program size. Six to twelve months is the comfortable window for a destination retreat for a 100 or less person size program, especially if you're eyeing peak season in a place like Hawaii. Shorter timelines happen, and we've pulled off plenty of them. The tradeoff is choice. Book early, and you get the property, the meeting space, and the tee times you want.

How do you choose the right destination for an executive retreat?

We start with what the retreat needs to accomplish. The telecom leadership team wanted to be somewhere far away from the office but still set up for strategy work. Kona gave them both. Some groups need a walkable city with easy flights in. Others want quiet and distance.

Can you build our team's interests into the schedule?

Yes. The executives in Kona were golfers, so we ran strategy conversations out on the course in the mornings and moved the group indoors for focused sessions each afternoon, like hiking, cooking, cultural excursions, and a long dinner with no agenda. If it fits the group, it can shape the itinerary.

What size groups do you plan retreats for?

Everything from a leadership team of ten to conferences with hundreds in attendance. We can get specific regardless of your group’s size. Larger retreats have different logistics, though the discipline behind planning them stays the same.

Will someone from your team be on site during the retreat?

Yes. Planning a retreat well and running one well are two different things, and we do both exceptionally well. Having an AMI planner in the room means any AV issues, late vendors, or last-minute room changes are solved before your team knows about it.

How do you keep a retreat within budget?

Transparency on the front end and leverage on the back end. We bring more than 30 years of supplier relationships to the negotiation, across events in over 100 countries. That combination can stretch a budget further, without the experience feeling like a compromise.
